Administrative Assistant II
Location: Boston Ma 02115
Rate: $25-30 per hour
Duration: 3 Months

Administrative Coordinator

The Administrative Coordinator organizes and implements administrative systems and procedures to support the efficient day-to-day operations of a department, unit, project, or program. Serves as a primary source of information and provides administrative support to internal and external stakeholders.

Key Responsibilities:

  • Organize and maintain administrative systems, procedures, files, and records.
  • Gather, maintain, and analyze data to assist with reports and departmental needs.
  • Prepare and maintain financial, personnel, administrative, and student records.
  • Coordinate day-to-day communications within the department and ensure information is shared accurately and timely.
  • Compose, proofread, edit, and format correspondence, reports, presentations, and other materials.
  • Maintain spreadsheets, databases, calendars, and other electronic records.
  • Coordinate meeting, conference, seminar, and event logistics, including scheduling and facility arrangements.
  • Provide general clerical and administrative support to advance departmental goals and priorities.
  • Handle complex, sensitive, and confidential information with discretion.
  • Work independently while managing multiple priorities and meeting deadlines.
  • Perform other administrative duties as needed to support the department.

Qualifications:

  • Prior administrative or office experience required.
  • Intermediate to advanced proficiency with email and calendar applications, word processing, spreadsheets, and databases.
  • Strong organizational, communication, and time-management skills.
  • Ability to work independently with minimal supervision.
  • Strong attention to detail and ability to handle confidential information appropriately.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
