he Administrative Coordinator provides comprehensive administrative and operational support for a department, with a focus on student and faculty services, academic coordination, events, procurement, scheduling, and compliance activities. This is a 100% on-site position requiring strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced academic environment.

Key Responsibilities
  • Coordinate and support departmental events, including Graduation Dinners, Research Day, Lunch & Learns, Guest Dinners, and Class Photo logistics.
  • Manage student onboarding activities, including kit distribution, CAGS Orientation, and Research Orientation.
  • Coordinate faculty onboarding through preparation and distribution of faculty packets and management of faculty reviews.
  • Support academic functions, including Mock Boards, course scheduling, Registrar-related activities, and SLC scheduling.
  • Maintain departmental calendars and coordinate room requests, meetings, and schedules for Faculty, Academic Affairs, and ISSO.
  • Track and approve faculty time-off requests.
  • Support accreditation and compliance initiatives, including CODA preparation, documentation, and related administrative activities.
  • Facilitate the resident applicant interview process and coordinate related logistics.
  • Arrange resident travel and hotel accommodations, including hotel logistics for faculty.
  • Manage procurement and inventory activities, including ordering office supplies, research supplies, scrubs, and name plates through university procurement systems.
  • Oversee student administrative processes, including SSN documentation and VA Scholarship coordination.
  • Prepare and distribute departmental dashboards, reports, and other administrative documentation.
  • Assist faculty with drafting and processing Letters of Recommendation (LORs).
  • Provide general administrative support, including communication coordination, meeting participation, document preparation, and follow-up on departmental requests.
  • Perform additional administrative and operational duties as assigned.

  • Requires frequent interaction with faculty, students, residents, applicants, and administrative stakeholders.
  • Requires the ability to manage confidential information and multiple competing priorities with accuracy and professionalism.
