Administrative Assistant II
Location: Cambridge MA 02138
Rate: $30- 40  per hour
Duration: 3  Months


 

The I-9 Specialist is responsible for managing the organization's Form I-9 process and ensuring compliance with federal employment eligibility requirements. This position works closely with new employees, internal departments, and payroll teams to ensure I-9 forms are completed accurately, processed through E-Verify, maintained appropriately, and audited for compliance. Work for this position is completed primarily onsite.

Responsibilities
  • Meet with new employees and complete Section 2 of Form I-9 on behalf of the organization.
  • Process I-9 forms through the Equifax electronic I-9 system.
  • Submit I-9 information to E-Verify and follow up with employees regarding any issues or discrepancies.
  • Maintain historical I-9 records in accordance with USCIS regulations and retention requirements.
  • Monitor dashboards within the Equifax system and follow up with departments as necessary.
  • Audit electronic I-9 submissions for compliance with internal policies and procedures.
  • Assist with data entry and auditing of paper I-9 forms during the transition to a fully electronic system.
  • Respond to employee and department inquiries regarding Form I-9 completion and the Equifax system.
  • Participate in ongoing activities to prepare existing I-9 files for conversion to the electronic system.
  • Provide additional payroll support as needed.
Qualifications
  • 2-3 years of relevant work experience.
  • Prior experience with an electronic I-9 system required; Equifax experience preferred.
  • Experience completing Form I-9 on behalf of an employer.
  • Knowledge of Form I-9 completion and retention requirements.
  • Experience working with a variety of visa types, preferably in a college or university environment.
  • Excellent communication, interpersonal, and organizational skills.
  • Strong customer service orientation and ability to work effectively with a wide range of internal and external contacts.
  • Ability to manage multiple tasks, competing deadlines, and shifting priorities.
  • Strong attention to detail and ability to meet deadlines.
  • Proficiency with Microsoft Office, including Excel, Word, and Outlook.
  • Comfortable working with web-based applications.
  • Ability to remain calm and professional in stressful situations.
