Job Title: Administrative Associate
Location: Palo Alto, CA
Duration: 3 months 
Pay Rate: $32/hr - $35.24/hr (DOE) 


Job Description: 
The Planet Group is seeking an Administrative Associate to provide administrative and operational support. Responsibilities include coordinating meetings and events, managing faculty calendars and travel, drafting and distributing routine communications, processing reimbursements and transactions, maintaining office supplies, and updating approved website content. The role requires strong organizational skills, attention to detail, and the ability to work independently.

Duties include:

  • Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including coordinating logistics, materials, and serving as liaison with internal and external vendors.
  • Plan and schedule calendar(s) for faculty, resolve calendaring conflicts, and arrange travel in compliance with university and sponsor policies.
  • Process and monitor routine financial transactions, including travel and general reimbursements, P?card purchases, and resolving discrepancies using systems.
  • Draft and/or generate routine communications and coordinate production and dissemination of presentations, reports, grant proposals, and seminar materials.
  • Maintain office supplies and equipment and track invoices.
  • Maintain approved content on websites related to the division.

Requirements:
  • High school diploma and three years of administrative experience (or equivalent combination)
  • Strong organizational skills and attention to detail
  • Strong verbal and written communication skills
  • Ability to prioritize, multi?task, and work independently
  • Proficient with office software and email applications
