Must Haves:
- Bachelor's degree in Business Administration, Marketing, or related field and 3+ years of experience in an administrative or office management role or any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job.
- Proficient with tools such as G-Suite, Microsoft Office Suite, etc.
- Proven track record of strong interdepartmental communication skills.
- 2+ years of receiving shipments and returning shipments on behalf of an employer.
- 2+ years of 3rd party vendor communication
- Board Meeting experience
The Administrative Assistant will be responsible for overseeing the day-to-day functionality of the office through the duties listed below.
Facility Operations & Office Experience- Front Desk & Communications: Serve as the primary face of the office; greet guests and vendors, manage the main company phone lines, and oversee all incoming and outgoing mail, logistics, and shipments.
- Physical Environment & Security: Perform daily office walkthroughs to maintain premium facility standards, track building maintenance requests, and own the employee badge and access control systems.
- Supply & Asset Tracking: Maintain inventory levels for office supplies, remote employee equipment, and returns, while helping design standardized tracking processes to uncover cost-saving opportunities.
- Budgeting & Expense Control: Order office catering and snacks within budget, source competitive pricing options for procurement, and assist management with financial reviews of recurring contracts.
- Executive Liaison: Coordinate daily meal logistics for executive staff, maintain up-to-date filing systems, and collaborate with senior administrative assistants and vendors to resolve management requests.
- General Clerical Operations: Provide comprehensive administrative support, including scanning, copying, and organizing sales and marketing materials, while handling other ad hoc duties as assigned.
- Event Planning & Culture: Promote a team-oriented workplace by planning office events, building company-wide announcement slides, and assisting the Learning & Development team with off-site meeting coordination.
- IT Collaboration: Partner with the IT department to run routine technology checks and proactively submit work orders to resolve equipment issues.
- Bachelor's degree in Business Administration, Marketing, or a related field, and 3+ years of experience in an administrative or office management role; or any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities to perform the essential functions of the position.
- Proficiency with tools such as Google Workspace (G-Suite), Microsoft Office Suite, and similar business applications.
- Proven track record of strong cross-functional communication and collaboration skills.
- 2+ years of experience receiving and returning shipments on behalf of an employer.
- 2+ years of experience communicating with third-party vendors.
- Agency experience is a plus.
