Senior Program Coordinator - University Registrar

The Senior Program Coordinator supports administrative and student records functions related to enrollment, registration, graduation, academic scheduling, records integrity, and reporting. This position ensures the accuracy and confidentiality of academic records while applying established policies, procedures, and regulations to resolve complex student and university issues. The role works relatively independently, collaborates across multiple administrative areas, and may cross-train to provide additional support during peak periods.

Key Responsibilities:

  • Update and maintain student academic records in the student information system based on appropriate authorization and supporting documentation.
  • Maintain student information, including demographics, academic programs, course additions and drops, leaves of absence, withdrawals, and grades.
  • Process email communications, workflow requests, and service tickets for assigned registrar functions.
  • Interpret and apply institutional, state, and federal policies, rules, and regulations to resolve complex student and academic record issues.
  • Process transcript requests and respond to transcript-related inquiries.
  • Research, audit, and maintain historical records to support accurate transcript production and student record maintenance.
  • Process applications for degree conferral and update records for graduating students.
  • Review student records to determine completion requirements and communicate with students, advisors, department chairs, deans, directors, and other university staff.
  • Investigate, troubleshoot, and resolve issues presented by students, faculty, staff, and other constituents.
  • Maintain confidential academic files in accordance with FERPA requirements and established procedures.
  • Identify data discrepancies and research, analyze, and implement appropriate corrections.
  • Cross-train in related administrative areas and provide coverage during high-volume periods.
  • Contribute to process improvements and overall departmental operations.
  • Perform other administrative and program-related duties as assigned.

Qualifications:

  • Strong verbal and written communication skills with the ability to effectively interact with internal and external customers.
  • Strong analytical, problem-solving, and business process skills.
  • Exceptional attention to detail and accuracy in data entry and record maintenance.
  • Ability to analyze data, identify discrepancies or anomalies, and apply updates accurately and consistently.
  • Ability to interpret and apply policies, procedures, and regulations.
  • Strong organizational and documentation skills.
  • Ability to compose clear and concise written communications and documentation.
  • Ability to work independently while collaborating effectively with others.
  • Strong multitasking and prioritization skills with the ability to perform effectively under pressure.
  • Ability to handle confidential and sensitive information with discretion.
  • Experience working with student information systems, databases, or academic records preferred.
