Administrative Assistant II
Location: Cambridge MA 02138
Rate: $20-25per hour
Duration: 3 Months
- Serve as the primary coordinator for students requiring complex or higher-need testing accommodations.
- Partner with the Registrar's Office, Disability Access Office, and other campus departments to plan and implement testing accommodations.
- Coordinate technology, adaptive equipment, and alternative exam formats.
- Schedule and administer accommodated exams while ensuring compliance with testing policies and procedures.
- Manage the Testing Center's exam scheduling and management system for faculty and students.
- Assign testing spaces and effectively allocate testing center resources.
- Prepare, organize, distribute, and secure exam materials before and after testing.
- Proctor exams and monitor testing environments to maintain academic integrity.
- Address student and faculty questions regarding testing accommodations and resolve issues during exam administration.
- Collect, verify, and organize completed exams for faculty pickup.
- Provide front desk coverage, greet visitors, answer phones, and deliver exceptional customer service.
- Perform general administrative duties, including filing, mail distribution, and maintaining testing records.
- Support the day-to-day operations of the Testing Center and perform additional duties as assigned.
- High school diploma or equivalent.
- One year of experience in an academic environment.
- One year of administrative experience.
- One year of customer service experience.
- Academic policies and testing procedures.
- Computer systems and standard office software applications.
- Customer service best practices.
- Administrative support and recordkeeping.
- Document management and filing systems.
- Strong organizational skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Ability to quickly learn new software and testing management systems.
- Strong customer service and interpersonal skills.
- Ability to exercise sound judgment and maintain confidentiality.
- Capable of providing clear instructions and working effectively with students, faculty, and staff.
- Accurate recordkeeping and data management skills.
- Ability to count and verify exam materials accurately.
- Ability to multitask in a fast-paced environment.
- Ability to work independently and collaboratively.
- Proficiency with office equipment and Microsoft Office applications.
- Ability to stand, walk, and remain stationary for extended periods.
- Ability to lift and move up to 50 pounds as needed.
- Flexibility to adjust work hours during peak testing periods.
