Administrative Assistant II
Location: Cambridge MA 02138
Rate: $18-20per hour
Duration: 9 Months

Exam Proctor & Administrative Responsibilities
  • Maintain the security and confidentiality of all examination materials throughout the testing process.
  • Clearly communicate examination instructions and approved accommodations to students in a professional manner.
  • Distribute, collect, and account for all exam materials before and after testing.
  • Monitor students during examinations to ensure a secure testing environment and uphold academic integrity.
  • Conduct regular walkthroughs of hallways and testing areas approximately every 10 minutes to observe student conduct.
  • Remain in assigned testing rooms to supervise exams and provide support as needed.
  • Enforce testing policies, procedures, and time limits.
  • Assist with preparing and organizing exam packets prior to scheduled testing sessions.
  • Support student check-in and check-out procedures.
  • Clean and sanitize testing stations and exam tables throughout the day and after testing concludes.
  • Organize and implement administrative systems, processes, and office procedures.
  • Serve as the primary source of information for the department, project, or program.
  • Gather, maintain, and manage data to support reporting and departmental operations.
  • Assist in preparing reports using a variety of computer software applications.
  • Prepare and maintain financial, personnel, administrative, and student records.
  • Ensure the smooth day-to-day flow of departmental communications.
  • Compose, proofread, edit, and prepare correspondence, reports, and other business documents.
  • Create and maintain documents using word processing, spreadsheet, and database software.
  • Coordinate meeting logistics, including scheduling facilities, conferences, seminars, and departmental meetings.
  • Perform a variety of clerical and administrative duties in support of departmental goals.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Work independently with minimal supervision while managing multiple priorities.
  • Utilize a variety of office software, including email, calendars, word processing, spreadsheets, and databases.
  • Demonstrate intermediate to advanced proficiency with Microsoft Office or equivalent office productivity software.
  • Perform additional testing center and administrative duties as assigned.
Schedule
  • Monday through Friday, 9:00 AM - 5:00 PM (excluding institutional holidays).
Required Qualifications
  • Ability to understand and follow oral and written instructions.
  • Ability to read, interpret, and apply written policies, procedures, and testing guidelines.
  • Prior office or administrative experience.
  • Strong attention to detail and commitment to maintaining exam security.
  • Ability to remain attentive and observant for extended periods.
  • Strong organizational, communication, and customer service skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Intermediate to advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel) or equivalent office software.
  • Ability to walk throughout the testing facility and navigate multiple rooms as needed.
  • Reliable, punctual, and able to work independently as well as collaboratively in a team environment.
