- Partner with the CIO's direct reports, project managers, and functional leaders to track project progress, priorities, resource needs, and dependencies.
- Maintain project schedules, resource plans, action items, and deliverable tracking across multiple concurrent initiatives.
- Facilitate project meetings and resource planning discussions, including preparing agendas, documenting decisions, and following up on outstanding items.
- Maintain project tracking and reporting within Azure DevOps (ADO), including work items, backlogs, assignments, status updates, and dependencies.
- Monitor project timelines, resource allocations, and potential capacity constraints; identify risks and escalate issues as needed.
- Prepare project status reports and leadership updates highlighting progress, upcoming milestones, risks, and items requiring attention.
- Support Agile and/or Waterfall project delivery practices, helping ensure consistent coordination, documentation, and communication across teams.
- Coordinate cross-functional communication between IT, business stakeholders, vendors, and leadership to keep initiatives moving forward.
- Identify opportunities to improve project coordination, reporting, and overall processes across the IT organization.
- Solid experience coordinating projects within an IT organization, supporting multiple teams and stakeholders.
- Strong organizational and project coordination skills, with the ability to manage competing priorities and multiple initiatives simultaneously.
- Experience working with project management and work-tracking tools; familiarity with Azure DevOps (ADO) strongly preferred.
- Experience supporting at least one project delivery methodology, including Agile or Waterfall.
- Exceptional written and verbal communication skills, with the ability to interact professionally and confidently with senior leadership, including SVP-level stakeholders.
- Strong executive presence and the ability to facilitate discussions, communicate project updates, and follow through with stakeholders at all levels.
- Proactive approach to problem-solving, identifying issues, tracking action items, and keeping projects on track.
Nice-to-have skills that would make a candidate more competitive but are not required.
- Hands-on experience with Azure DevOps (ADO), including Boards, backlogs, dashboards, and work-item tracking.
- Experience supporting both Agile and Waterfall project environments.
- Previous experience within the pharmaceutical or life sciences industry.
- Experience supporting an enterprise IT organization or PMO with multiple concurrent projects.
