Administrative Assistant - Senior
Contract length: 5 months

Location: Framingham, MA
Pay: $29/hr - $34/hr, (DOE)
Executive Administrative Assistant

The Executive Administrative Assistant will provide high-level administrative support to a VP and two AVPs within Global Talent Management. This is a hybrid position requiring in-office days that align with the team. The ideal candidate will have advanced administrative experience, strong organizational skills, sound judgment, and the ability to handle confidential and sensitive information with professionalism and discretion.

Responsibilities
  • Schedule and maintain multiple calendars of appointments and meetings.
  • Support and monitor the ongoing administration of HR and Talent program processes to ensure consistent and timely execution.
  • Coordinate travel itineraries and process expense reports.
  • Respond to questions and requests, conduct research, and provide information as needed.
  • Interface with a variety of internal and external stakeholders on complex or confidential matters.
  • Engage appropriate team members and departments to resolve issues.
  • Provide functional guidance and training to other administrative team members as needed.
  • Analyze operating practices and create or revise systems and procedures to improve efficiency.
  • Organize and maintain files, records, and office systems.
  • Oversee and monitor administrative projects and initiatives.
  • Organize meetings, including catering, room reservations, preparation, and follow-up.
  • Manage and administer department payroll and timekeeping processes.
  • Provide backup support to other administrative professionals.
  • Manage and maintain various documents, spreadsheets, and reports.
  • Serve as a proxy for designated systems and processes as needed.
  • Support meetings, training sessions, and conferences, including preparation and logistics.
  • Plan and participate in department initiatives, including summits, all-hands meetings, leadership offsites, and team-building events.
  • Communicate pertinent information across appropriate departments and teams.
  • Perform other administrative duties as assigned.
Qualifications
  • 7+ years of administrative experience, with a strong emphasis on executive administrative support.
  • Previous administrative experience in a corporate environment required.
  • Excellent organizational and administrative skills, with the ability to multitask and maintain strong attention to detail in a fast-paced environment.
  • Strong proficiency with Microsoft Office, particularly PowerPoint, Excel, Outlook, and Word.
  • Excellent written and verbal communication skills with a professional, customer-service-oriented approach.
  • Ability to effectively manage confidential and sensitive information.
  • Comfortable working in a fast-paced and demanding environment.
  • Proven ability to manage multiple priorities, shift focus as needed, and effectively prioritize competing demands.
  • Willingness to learn, take direction, and work collaboratively as part of a team.
  • Interest or experience in Human Resources is a plus.
  • Ability to remain focused, productive, and results-oriented in a busy environment.
  • Experience scheduling meetings, managing multiple calendars, coordinating travel, and processing expenses is required.
  • Strong relationship-building and collaboration skills with team members and other administrative professionals.
  • Resourceful problem solver with the ability to leverage relationships and available resources to resolve issues efficiently.
