The Executive Assistant to the Dean of a University to provide high-level administrative and executive support to the Office of the Dean. This position manages complex scheduling, coordinates communications, prepares leadership materials, and ensures the efficient operation of the Dean's Office. The ideal candidate demonstrates exceptional organization, discretion, judgment, and communication skills while handling sensitive information and competing priorities in a fast-paced academic environment.

Key Responsibilities:

  • Manage the Dean's complex calendar, including scheduling, prioritizing, and coordinating meetings, appointments, and events.
  • Anticipate scheduling conflicts and proactively resolve competing priorities to maximize the Dean's time and effectiveness.
  • Prepare concise meeting overviews, agendas, briefing materials, and other documents to ensure the Dean is well prepared for meetings and engagements.
  • Coordinate meetings involving internal and external stakeholders, including scheduling, logistics, materials, and follow-up.
  • Manage and monitor a central department email inbox, reviewing and prioritizing inquiries and routing messages to the appropriate stakeholders.
  • Maintain accurate tracking of inquiries, action items, and follow-up activities to ensure timely responses and resolution.
  • Serve as a professional point of contact for the Office of the Dean, communicating effectively with faculty, staff, students, administrators, and external contacts.
  • Handle highly confidential and sensitive information with discretion, professionalism, and sound judgment.
  • Draft, edit, proofread, and format correspondence, reports, presentations, and other executive-level communications.
  • Utilize advanced knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, to support daily operations and executive functions.
  • Apply strong interpersonal, analytical, negotiation, organizational, and problem-solving skills to address issues and support the objectives of the Dean's Office.
  • Manage multiple priorities and deadlines independently while maintaining accuracy and attention to detail.
  • Perform other related duties as required to support the effective operation of the Office of the Dean.
