Title: Project/Marketing Coordinator
Pay: $20-$22/hr depending on experience
Location: Fully remote (though candidates should be located in Chicago)
Duration: Through the end of 2026 (assignments may conclude prior to year-end if business needs change)
The Planet Group is seeking a remote Project/Marketing Coordinator to support our client, a leading provider of direct marketing and customer data solutions.
Project/Marketing Coordinator role supports the execution of direct marketing campaigns with a focus on data preparation, proofing, and campaign readiness. This position requires strong attention to detail, organization, and communication skills to ensure campaign accuracy and efficiency within established processes. Success in this role is driven by consistency in execution, quality control, and effective collaboration with internal teams and sales partners.
Project/Marketing Coordinator Responsibilities:
- Serve as a primary point of contact for Sales teams to support execution of direct mail campaigns.
- Capture and validate all campaign details, ensuring accuracy and completeness of enrollment and intake information.
- Ensure all required campaign elements are in place prior to production and in-market delivery.
- Ensure all client requests and internal inquiries are handled in a timely and professional manner.
- Quality & Process Adherence
- Perform quality checks to validate campaign accuracy and identify required corrections.
- Review and apply proofreading edits and suggestions to campaign creative within internal systems and portals.
- Partner with Sales teams to confirm or clarify requested creative edits when direction is unclear or requires validation.
- Follow established quality control procedures to ensure consistency and compliance across campaigns.
- Identify discrepancies or issues in campaign setup and escalate as appropriate.
- Ensure all campaign processes are documented and consistently followed.
- Maintain organized, audit-ready project documentation across systems.
- Data Coordination & Preparation
- Prepare campaign data files to ensure readiness for mailing and downstream processing.
- Combine and reconcile multiple data lists as needed to support campaign requirements.
- Perform deduplication, suppression, and filtering of data based on defined campaign criteria.
- Reformat data files to align with required specifications for production and mailing.
- Validate data outputs to ensure accuracy and completeness prior to campaign execution.
- Administrative & Operational Support
- Maintain accurate, accessible work files and documentation across multiple systems.
- Support day-to-day operational tasks related to campaign execution and team workflows.
- Demonstrate flexibility by supporting projects and tasks outside of routine responsibilities as business needs require.
- Maintain a professional, collaborative demeanor with management, peers, and cross-functional partners.
- Knowledge, Skills & Abilities
- Basic understanding of project coordination and campaign execution processes.
- Strong attention to detail with the ability to identify discrepancies and errors.
- Strong organizational and time management skills with the ability to prioritize tasks.
- Ability to manage multiple tasks in a fast-paced environment.
- Effective written and verbal communication skills.
- Ability to work independently while contributing within a team environment.
- Proficiency with Microsoft Office applications, particularly Excel and Word.
- Ability to learn and navigate internal systems such as Salesforce and campaign tools.
- Education & Experience (Required)
- High school diploma or equivalent required.
- 0-2 years of related experience in marketing, project coordination, operations, or customer service.
- Preferred Qualifications
- Bachelor's degree in Marketing, Business, or a related field.
- Experience with Salesforce or similar CRM systems.
- Exposure to direct marketing, campaign execution, or customer support processes.
