Job Title:  Administrative Assistant
Location: Remote
Contract length: 4 months
Schedule: Fulltime, M-F
Pay: $20/hr to $25/hr, DOE

Job Overview:
The Administrative Assistant provides high-level administrative and operational support to business leaders and teams, while also contributing to cross-functional projects and process improvement initiatives. This role combines traditional administrative responsibilities with project coordination, reporting, and task execution support across multiple business functions.

Key Responsibilities:

  • Administrative & Operational Support
    • Maintain organized records, files, and documentation (electronic and physical)
    • Assist with internal communications, presentations, and report preparation
    • Handle confidential information with discretion and professionalism
  • Project Coordination & Support
    • Support multiple concurrent projects by tracking timelines, deliverables, and action items
    • Maintain project trackers, dashboards, and status reports (Excel, SharePoint, or similar tools)
    • Coordinate across departments to gather data, updates, and documentation
    • Assist with process documentation, SOP updates, and audit-ready materials
    • Follow up on project tasks to ensure completion and escalate delays as needed
    • Participate in project meetings and provide administrative coordination support
  • Accounts Payable & Project Task Support (as applicable)
    • Assist with data validation and document organization
    • Support vendor onboarding tasks (document collection, tracking W-9s, etc.)
    • Track and organize project-related financial or operational documentation
  • Data & Reporting
    • Compile and analyze data to support reporting needs across teams
    • Prepare recurring and ad hoc reports for leadership review
    • Maintain accuracy and completeness of tracking logs and documentation

Job Qualifications:
  • 1+ year of administrative, project coordination, or office support experience
  • Strong organizational and time management skills with ability to prioritize multiple tasks
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Experience with collaboration tools (SharePoint, Teams, project trackers) preferred
  • Strong attention to detail and accuracy (especially for data and documentation handling)
  • Ability to work independently while following established procedures
