Location: Curtis Bay, MD
Pay: $28-30/hour
Work Schedule: Onsite (M-F) 
Duration: 6-month CTH or extension

Introduction:
Our client is seeking an Operations Administrator to join their team! This role reports to Human Resource Manager. The Operations Administrator is critical to supporting HR and operations functions, ensuring accurate workforce management, payroll, and personnel processes

Responsibilities:

  • Manage attendance tracking, including entering approved vacation time and resolving timecard discrepancies for hourly employees.
  • Monitor absenteeism and administer disciplinary actions in alignment with the Collective Bargaining Agreement (CBA) and company policies.
  • Verify pay rules, schedules, job codes, and pay rates to ensure accurate payroll setup and timely processing.
  • Maintain and update personnel records, electronic calendars, badge numbers, and employee lists with accuracy and confidentiality.
  • Process employee transfers, job code/pay rate changes, and cross-site location moves.
  • Facilitate probationary evaluations and track timely completion.
  • Confirm FMLA/STD approvals and maintain detailed, compliant leave records.
  • Serve as the primary resource for employees seeking HR assistance or support services.
  • Manage Kronos/UKG timekeeping, including running reports, updating schedules and pay rules, and identifying/escalating system issues.
  • Submit IT tickets for system access, login creation, and equipment orders for salaried staff.
  • Support operational needs by preparing and submitting invoices, generating and maintaining purchase orders, and completing month-end/year-end reconciliation.
  • Coordinate year-end vacation and accrual processing for hourly employees in accordance with the CBA and related procedures.
Logistics / Shipping / SAP Goods Movements (beyond basic PO/invoice tasks)
  • Pulling/packing orders; preparing shipping packets (BOL, pick lists, labels/placards), setting up carriers, coordinating delivery/fill/pickup, shipping FedEx samples, creating deliveries/transfer orders, doing goods issue, Webcycles, Cintas liaison, MSDS/COA handling, Dangerous Goods (IMDG) documentation for HazMat, IBC (intermediate bulk container) inventory and inspection tracking, EDMS updates for IBC inspections.
  • SAP receiving/goods receipts for raw/production materials, returned material (RMA) processing, truck/rail shipments (ShipCSX), warehouse coordination and even filling in for a Logistics Supervisor for 30 days/year.
Facilities / Maintenance Coordination & Housekeeping Ownership
  • Coordinating building improvements/renovations; interfacing with contractors; supervising warehouse employees; plant key box management; custodial oversight; ordering tools/coffee/office supplies/breakroom supplies; printer/copier POC and servicing; Fastenal plant POC; signage; stores orders; distributing company gifts..
Safety/EHSS Administration Ownership
  • Assigning/owning monthly EHSS checklists, shoe vouchers, guardhouse POC duties, issuing badges, entering purchase orders for safety supplies/equipment, GR invoices. 
Scheduling Ownership for Production
  • Building/issuing plant-wide production schedules, awarding volunteered OT shifts, tracking trainees, planning transfers for coverage, and posting schedules.
Celebration / Morale / Events Management
  • Ordering food (as requested by individuals), celebrations (birthdays/anniversaries), retirement packets, printing holiday/birthday cards, etc.
Specialized Quality/EDMS/Document Control
  • Administering EDMS (document management) for production/quality, reorganizing technical docs, linking inspections to SAP.  
Procurement/Accounting:
  • Blanket purchase orders for plants, any/all parts and services POs, invoicing, present average total spend as needed, collect information and submit requests for new vendors, investigate invoice mismatching preventing invoice uploads, vendor relations, plant Fastenal orders, plant stores orders.

Required Qualifications:
  • High school diploma or GED equivalent.
  • 5+ years of experience in administrative or operational support roles.
  • Proficient in SAP for data entry, workflow processing, and system navigation.
  • Experienced with ARIBA for procurement and purchasing workflows.
  • Demonstrated ability to handle sensitive information with strict confidentiality.
Preferred Qualifications:
  • Bachelor's degree
  • Expertise with Kronos timekeeping systems.
