Facilities Coordinator
Oakland, CA
6 Months Contract
Pay: $25 - $27.45/hr (DOE)
The Planet Group is seeking a Facilities Coordinator to provide administrative and operational support to the Facilities and Property Services team during a leave-of-absence coverage period. This onsite role supports daily facilities operations by managing work orders, coordinating vendors, tracking service completion, and assisting with invoice coding and accounts payable activities. The role serves as a key point of contact for facilities-related requests and ensures continuity of services across the facility portfolio.
Qualifications:
- High School Diploma or equivalent experience
- Minimum 2 years of experience in:
- Administrative support
- Facilities coordination and/or property management
- Experience using work order systems, including:
- Tracking
- Routing
- Follow-up
- Experience with invoice coding and accounts payable support
- Experience coordinating vendors and following up on service completion
- Ability to manage a high volume of requests and prioritize daily operational tasks
- Proficiency in Microsoft Office and database systems
- Strong communication skills with the ability to follow up with tenants, vendors, and internal teams
- Ability to work onsite and support daily office operations
- Experience in a healthcare or commercial property/facilities environment
- Experience supporting a Property Manager or Facilities team
- Familiarity with preventive maintenance or facilities service workflows
- Experience with reporting, tracking logs, or service metrics
- Basic knowledge of facilities compliance or regulatory standards
Responsibilities:
- Provide administrative support to the Facilities and Property Services team
- Manage, monitor, and follow up on work orders to ensure timely completion
- Communicate with tenants and internal stakeholders regarding service requests
- Coordinate with vendors and track service delivery and issue resolution
- Perform invoice coding and support accounts payable processes
- Serve as a primary point of contact for facilities-related inquiries
- Maintain records and track facilities service requests
- Support the Property Manager with day-to-day operational tasks
- Ensure continuity of facilities services during the leave coverage period
