Job Title: HVAC Facilities Coordinator 
Location: Chesapeake, VA  23320
Pay: $30-32/hour 
Work Schedule: Onsite (M-F, 1st Shift) 
Duration: Indefinite (CTH after 5 month likely) 
Start: ASAP 
We are partnering with our client to find an HVAC Facilities Coordinator to work out of their Chesapeake, VA office. Under general supervision, this role is fully responsible for all aspects related to designated customer account(s). The position manages telephonic and electronic follow-up, as well as closing functions for open HVAC work orders to ensure contractual obligations are met. The primary goal is to ensure all HVAC work orders are completed on time.

This role involves daily communication with HVAC service providers, including following up via phone and email for status updates, updating work orders in the EMCOR system, and coordinating with the account team on reassignments. As the main point of contact for HVAC service providers, the ideal candidate will possess a strong commercial HVAC background.


Essential Duties and Responsibilities
  • Analyze and manipulate Excel work order data to prioritize service provider communication
  • Communicate regularly with service providers and customers via phone and email regarding work order status updates
  • Update and upload work order information in the system to reflect current status
  • Coordinate with account teams on work order escalations and service provider invoicing issues
  • Ensure work order reassignments are communicated to the appropriate account team representative
  • Assist with dispatching work orders when the customer service representative/dispatcher is unavailable

Qualifications

Education

  • Associate degree or equivalent experience

Experience

  • Minimum of two (2) years of experience in facilities maintenance, property management, or a customer service role required
  • Experience managing commercial HVAC service delivery required

Language Skills

  • Bilingual (English/Spanish) preferred

Technical Skills

  • Advanced proficiency in Microsoft Office applications, including Excel and Word
  • Typing speed of at least 50 WPM with strong written communication skills

  • Strong judgment on when to escalate issues to Facilities Manager/Supervisor or Account Manager
