Job Title: Department Assistant
Location: Kansas City, MO 64114
Contract length: 11-month Contract-to-Hire
Pay: $21/hr - $27/hr
Department Assistant Qualifications
- High school diploma/GED required
- Previous experience in an administrative or office setting is preferred
- Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint) is required
- Experience with project financial management software, like Ecosys, is highly desirable
- Must be a self-starter with the ability to work independently, demonstrating reliability, accuracy and strong problem-solving skills
- A strong customer service orientation with a commitment to providing proactive, solutions-oriented support
- Excellent organizational skills, attention to detail, and effective verbal and written communication skills are necessary
- Demonstrated ability to learn and apply AI and other innovative technologies to enhance efficiency, improve quality, and support the global practice’s evolving needs
- Demonstrated ability to handle multiple tasks and communicate professionally with all levels of the organization and external partners
- Support planning and facilitation of internal meetings and events
- Prepare and submit expense reports for key members of leadership
- Serve as an information resource for the department and project teams, resolving questions and facilitating the flow of communication regarding facilities and internal events
- Prepare and assist with impactful presentations, meeting notes, and data tables using Microsoft PowerPoint, Excel, OneNote and other programs
- Coordinate client event ticket distribution and tracking
- Develop and maintain procedures that align with business line (TSA) requirements and assist in advancing new business initiatives or processes
- Plan, coordinate and facilitate on-site and off-site meetings for various groups, including training sessions, stakeholder and management meetings
- Use project financial management software (Ecosys) and PowerBi to assist project support team and project managers with project closeouts, tracking unbilled & A/R, and other project related duties
- Submit equipment rental forms for certain software used by project teams
- Monitor and review standard expenditures to ensure global practice activities are conducted within established budgets
- Coordinate with the corporate training department to manage required training programs and records for personnel
- Provide logistical support for training sessions
- Coordinate gift giveaways for internal and external initiatives
- Submit and track facilities/IT tickets when needed
- Coordinate onboarding for all new hires within ENS. Includes providing administrative support for improved ENS onboarding program that will launch in 2025/2026
- Support planning and facilitation of external events
- Prepare various communications, including emails, meeting agendas and meeting minutes
- Manage sensitive and confidential information with discretion
- Address and coordinate the resolution of department-related operational issues, such as those concerning resources, workstations and supplies for our Kansas City & Omaha offices
- Perform other duties as assigned
- Comply with all company policies and standards
