Job Description
Job Title: Operations Coordinator
Location: Lewisburg, TN 37091
Contract length: 9-month Contract
Pay: $20/hr - $21/hr
Required
- High school diploma or GED (General Education Degree) required
- Minimum of 2 years’ experience in office management and/or administrative role required
- Experience with RCRA (Resource Conservation and Recovery Act), DOT & HazCom required.
- Proficiency with various computer software packages
- Ability to handle multiple projects, prioritize, meet deadlines, and work independently with initiative in a fast-paced environment
- Ability to follow detailed oral and written instructions
- Possession of strong organizational skills
- Experience in waste or recycling industry is preferred
- Desire to have direct customer face & provide a high level of customer service
- Ability to use sound judgment and problem solve in a fast-paced environment
- Ability to collaborate and build effective relationships at all levels of the organization
- Have knowledge & ability to articulate the various types of transportation vehicles (van, roll-off, self-dump, etc.) to effectively assist client with potential transportation needs
- While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard.
- Client communications and supporting client requests
- Working within NetSuite, responsible for new customer set-up, MCF document requests, sales order entry, and maintaining pricing
- Store all reports and excel spreadsheets on OneDrive and share access with internal customers. Includes reports related to Transportation Compliance, Environmental Compliance, Health & Safety and other support areas as needed
- Communicate with the Director of Operations and others regarding customer service issues regarding request for credit or partial credit of invoices due to quoted rates, billing discrepancies, QA/QC, or errors of omission
- Track daily volume(s) received and provide daily, weekly, and monthly totals to the team
- Track and enter Purchase Orders as necessary for invoices received
- Responsible for tracking and reporting credit card use
- Order supplies for the business unit, including but not limited to general office supplies, chemicals, materials, etc. Track and update all branch expenditures/costs daily
- Track daily driver’s mileage/fuel for monthly reports to be submitted to Transportation
- Ensure receipts are turned in daily with truck DVIRs
- Notify Site Supervisor and/or Director of Operations of any noted deficiency
- Other duties include managing outgoing and incoming mail, filing, fax, ordering of supplies (including but not limited to chemicals, materials, etc.) and providing administrative support to Director of Operations and Controller
- Maintain employee training files
- Assist with tracking any collections activities, as needed
- Ability to work closely across all departments, such as, but not limited to, materials profiling team, material compliance (QA/QC), scheduling, dispatch, sales, supply chain, etc. to resolve issues and/or exchange client information
- Ensure data in CRM, NSGG, DMS, People Soft (PS) are entered correctly, as necessary
- Ability to learn & fully understand Energy to Waste and Material Processing Facilities capabilities, services, and processes to effectively communicate with clients and offer alternative solutions within Client's portfolio
- Resolve assigned Process Map cases within the prescribed timeframe
