Contract Length: 12 month contract - Onsite
Schedule: Full-time, 40 hours/week
Pay Range: $25 – $34/hour
Must Haves:
- Demonstrated experience supporting senior leaders and executive management
- In-depth knowledge of Microsoft Office (PowerPoint, Excel, Word) and cSuite tools, including Gmail, Google Calendar, Sheets, Slides, Google Meet, and Zoom; ability to train or support others as needed
- An average of 5–7 years of related administrative, operations, or project management experience (pharmaceutical or biotechnology industry experience preferred)
- A BS/BA degree or equivalent relevant industry experience
- Pharmaceutical or biotechnology industry experience preferred
- Software experience in Trello and/or Jamboard,
The Senior Administrative Business Partner (Sr. ABP) provides advanced administrative and operational support to Senior and Executive Management within Early Clinical Development. This role requires a proactive, highly organized, and customer-focused professional who anticipates business needs, manages complex logistics, and supports leaders in a fast-paced, highly collaborative environment. Interactions may involve matters of utmost sensitivity, requiring sound judgment, discretion, and confidentiality. The Sr. ABP partners closely with leadership and cross-functional teams to identify efficiencies and improve ways of working across the organization.
- Proactively manage and maintain complex calendars and meeting schedules for senior leaders
- Coordinate and manage complex domestic and international travel arrangements and logistics
- Plan and support large, mid-level internal meetings (e.g., department meetings, large team or committee meetings)
- Leverage advanced knowledge of Genentech IT systems and tools (e.g., cSuite, virtual collaboration platforms)
- Build and manage relationships with internal and external stakeholders, often requiring a high level of confidentiality
- Create contracts and purchase orders; process invoices, expense reports, and payments
- Support candidate coordination and interview scheduling
- Manage and plan team-building events and workshops (based on role and level)
- Independently lead planning and execution of complex team offsites involving multiple locations, days, activities, and travel logistics
- Draft email communications on behalf of managers, leaders, teams, or departments
- Manage departmental communication platforms (gSites, Slack, websites, newsletters), including content collection, distribution, and maintenance
- Provide project management support for Quality Compliance & Clinical Capabilities (QC3) projects and initiatives
- Take on additional responsibilities as assigned based on evolving business needs
