Senior Administrative Assistant
3 months
Boston, MA
Pay Range - $20-$22/hr


Must Haves:
  • Highschool diploma/GED 
  • 3+ years of administrative experience
  • Experience utilizing Zoom Conferencing
  • Previous event planning experience
Preferred:
  • Higher education industry experience

Job Summary/Description:

Reporting directly to the Associate Director, International, Global Leadership Development, this position will assist the Global Leadership Development, International, team in their fundraising efforts through administrative support and prospect research. Included in the role will be projects designed to further develop and grow the following programs/activities:

Mailings, Donor Updates, and Travel Assistance
  • Updates and maintains records in the our donor database
  • Assists with high level correspondence and briefings, pipeline maintenance, phone coverage, research, as well as technical and logistical support
  • Assists with scheduling and planning mailings for international alumni, parents, and friends
  • Assists in coordinating international travel for the development team and campus visits for alumni, parents, and friends of the organization
  • Drafts itineraries for international development team
  • Assists in meeting outreach for international team

Event Management
  • Assists with all phases of planning and execution of events and other key engagement opportunities. Includes preparing and disseminating meeting materials, arranging speakers, working with outside vendors, managing logistics, creating name tags and table tents, etc.
  • Assists with event follow up including adding attendance records to the database and coordinating follow up mailings and next steps
  • Assists with online events in the Zoom platform

Prospect Research
  • Serves as part of the team identifying and building the pipeline of prospects and tracking all constituent interactions. Identifies and provides preliminary prospect and philanthropy research to Associate Director.
  • Assists in developing briefings and event bio notes for alumni meetings utilizing the database information and online research.

Miscellaneous
  • Assists with daily requests from the Assistant Vice President and Associate Director
  • Enters data into the database
  • Builds and runs reports in database system
  • Cross checks information to ensure database accuracy
  • Completes expense reports for international GLD members
