  Project Controls Specialist  Overview

We are seeking a Project Controls Specialist

This position is responsible for providing accounting and project controls oversight for significant projects and programs, including budgeting, forecasting, financial analysis and reporting, contract compliance, systems management, billing, invoicing, and accounts payable coordination.

 


Key Responsibilities
  • Oversee accounting and project controls functions for large-scale projects or programs while collaborating with clients, subcontractors, project managers, program administrators, and leadership teams.
  • Manage complex client funding and billing requirements while ensuring compliance with internal processes and procedures.
  • Monitor compliance with contract terms and subcontractor commitments.
  • Prepare and present project financial reports, analyses, budgets, forecasts, and cost tracking updates.
  • Track forecasts, commitments, invoices, and project allocations to ensure costs align with approved budgets and forecasts.
  • Establish and maintain project accounting files and review reports with client representatives for accuracy and completeness.
  • Manage vendor forecasts, commitments, billings, and payment processes.
  • Resolve client billing discrepancies, payment disputes, and project-related financial issues.
  • Review and approve subcontractor and vendor invoices while coordinating timely accounts payable processing.
  • Oversee tracking, allocation, journal entry preparation, and processing of shared services costs to the appropriate project areas.
  • Support project and program staff with financial reporting, forecasting, and controls-related activities.
  • Monitor timecard accuracy and drive resolution of timekeeping discrepancies.
  • Provide guidance and support to junior staff as needed.
  • Communicate project status, financial risks, and recommendations to leadership and project stakeholders.
  • Support overall project profitability and successful project execution through effective financial oversight and controls management.

Qualifications
  • Bachelor's degree in Construction Management, Accounting, Finance, or a related field.
  • Minimum of 6 years of relevant project controls, accounting, finance, or analytical experience.
  • Experience supporting industrial, manufacturing, or large capital projects preferred.
  • Smartsheet and SAP experience strongly preferred.
  • Strong analytical, organizational, and technical skills with exceptional attention to detail.
  • Ability to manage multiple projects simultaneously while adapting to changing priorities.
  • Advanced proficiency with Microsoft Office, particularly Excel, along with experience using large business accounting systems.
  • Strong ability to work independently and drive tasks through completion.
  • Excellent interpersonal and communication skills with the ability to collaborate effectively across all levels of the organization and with external stakeholders.
