Contract Length: 8 month contract - Onsite
Schedule: Full-time, 40 hours/week
Pay Range: $25 - $39/hour
Must Haves:
- Minimum 10 years of administrative, operations, or project management experience (experience within pharmaceutical or biotechnology industries preferred)
- Proven experience supporting senior leaders or executive management
- Ability to manage routine and urgent tasks with minimal supervision while effectively prioritizing competing deadlines
- Strong collaboration skills with the ability to facilitate teamwork and share relevant information across functions
- Demonstrated ability to handle sensitive and confidential information with discretion and sound judgment
- Exceptional attention to detail and commitment to accuracy in both personal work and team deliverables
- Advanced proficiency in Microsoft Office (PowerPoint, Excel, Word)
- Strong working knowledge of Google Workspace and collaboration tools, including: Gmail, Google Calendar, Google Sheets, Google Slides, Trello, Lucidchart, Google Meet, Zoom
- Ability to provide guidance or training to team members on collaboration tools when needed
- Bachelor's degree (BS/BA) plus 10+ years of relevant experience
Preferred:
- Pharmaceutical or biotechnology industry experience preferred
- Familiarity with the organization strongly preferred.
We are seeking a dynamic and professional individual who thrives in a fast-paced environment while providing high-level administrative support. The Administrative Business Partner will provide direct support to Directors across BAS groups, including BioAnalytical Sciences Operations, Bioassay, Immunoassay, and Mass Spec.
This role also provides general administrative support to BAS team members and coordinates project activities that support day-to-day business operations. The Administrative Business Partner will collaborate closely with other administrative partners in the department to provide coverage and balance workloads.
This individual may also partner with administrative professionals across Development Sciences and participate in special projects as needed.
The ideal candidate exercises sound business judgment and maintains discretion when handling sensitive, confidential, and proprietary information. Success in this role requires the ability to work independently while remaining a proactive, creative, self-directed, and detail-oriented team player who can manage multiple priorities and complex projects.
- Manage complex calendar scheduling and shared team drives using Google Suite, including coordination with internal and external stakeholders across multiple time zones
- Utilize meeting technologies including in-room AV systems, video conferencing, Google Meet, Zoom, and global webcast platforms
- Coordinate department-wide meetings (Town Halls, department meetings, etc.), including agenda creation, meeting materials, catering, and room setup
- Ensure meeting readiness by coordinating AV connections, telephony access, Zoom information, and other logistics
- Draft and send communications on behalf of leadership and team members
- Support team communications related to policies, processes, department reminders, and operational updates
- Coordinate recognition for employee milestones (anniversaries, weddings, birthdays, etc.) in accordance with department guidelines
- Submit and track facilities, IT, and Site Services requests
- Manage purchase orders, invoices, payment tracking, and vendor records
- Maintain distribution lists and coordinate printing, office supplies, and shipping/receiving processes
- Maintain strong working relationships with internal and external stakeholders while managing confidential information
- Coordinate space management logistics and office moves in partnership with the BAS Business Manager
- Plan and organize team-building events, workshops, and department activities
- Track available trainings and coordinate development opportunities for the team and administrative staff
- Process vendor and speaker engagements, contracts, and payments
- Coordinate conference registrations, travel arrangements, hotel accommodations, and expense reporting
- Edit and enhance documents, including presentations, as requested
- Support hiring processes by scheduling interviews, coordinating candidate travel, managing interview logistics, and assisting with administrative onboarding
- Coordinate onboarding logistics for new hires (orientation information, welcome events, devices, etc.)
- Maintain departmental communication platforms including gSites, Currents, internal websites, and newsletters
- Manage department documentation and records (electronic and hard copy), including off-site storage coordination
- Coordinate logistics for CRO visits, including meeting setup and visitor support
- Assist with manuscript internal peer review coordination as needed
- Partner with other BAS administrative professionals and the Business Manager to plan department events and provide coverage as needed
