Job Description
Job Title: Senior Administrative Business Partner
Location: San Francisco CA 94080
Contract Length: 12 month contract - Onsite
Schedule: Full-time, 40 hours/week
Pay Range: $25 – $41/hour
Must Haves:
- 5–7 years of related administrative, operations, or project management experience (pharmaceutical/biotechnology industry experience preferred).
- Experience supporting senior leaders and management.
- Strong ability to multitask, prioritize, and execute tasks independently; may assist in coordinating workflow among team members.
- Proven ability to handle sensitive, confidential, and proprietary information with sound judgment and discretion.
- Demonstrates strong accuracy and attention to detail; promotes high standards of quality within the team.
- Able to make informed decisions independently with minimal external input based on experience and context.
- In-depth knowledge of Microsoft Office (PowerPoint, Excel, Word) and cSuite tools (Gmail, Google Calendar, Sheets, Slides, Trello, Google Meet, Zoom); able to train or guide others as needed.
- BS/BA degree or equivalent industry experience.
Preferred:
- Pharmaceutical or biotechnology industry experience preferred
- Familiarity with the organization strongly preferred.
- Highly skilled in Google Suite; manage shared team drives and complex scheduling requests, potentially across multiple time zones.
- Maintain advanced knowledge of available IT systems (e.g., cSuite, virtual collaboration tools).
- Manage relationships with internal and external stakeholders, often requiring a high level of confidentiality.
- Plan large mid-level internal meetings (e.g., department meetings, large team/committee sessions).
- Coordinate scheduling with external business partners; oversee preparation and post-meeting follow-up.
- Lead the planning and execution of internal meetings requiring webcasting and sophisticated technology.
- Independently plan and execute complex team offsites involving multiple locations, days, activities, and/or travel needs.
- Contribute to agenda development, meeting materials creation/distribution, and overall flow of offsite events and meetings.
- Attend internal meetings and assist with note-taking and action item follow-up.
- Draft email communications on behalf of managers, teams, departments, or leaders.
- Manage departmental gSites, Spaces, websites, newsletters, and related communications (content collection, distribution, and maintenance).
- Coordinate feedback collection and implementation for communications when applicable.
- Support logistics related to office moves (space management) in close collaboration with administrative space planning leads.
- Manage candidate/interview processes, including hosting candidates, collecting feedback, preparing hiring/promotion packages, and partnering with Talent Acquisition and Hiring Managers.
- Oversee onboarding logistics (orientation details, welcome events, equipment readiness, etc.).
- Plan and coordinate team-building events and workshops.
- Stay current on available trainings and organize learning opportunities for the team and/or administrative staff.
- Process and manage vendor/speaker engagements, including contracts and payments.
- Autonomously maintain department organizational charts.
