Must Haves: 

  • Bachelor’s degree (BS/BA)
  • Minimum of 5 years of experience in a Recruiting Coordinator or high-volume operations role, preferably in a fast-paced environment.
  • Experience in scheduling occ health, new hire forms, background checks, sending orientation, and i9/onboarding docs.
  • Prior experience in operations, project management, or process improvement roles required.
  • Ability to build relationships and effectively engage new hires.
  • Strong analytical mindset with a focus on process improvement and operational excellence.
Preferred: 
  • Experience with applicant tracking systems required; Workday experience preferred.

Job Summary/Description:

The Senior Onboarding Specialist oversees the onboarding process for all new hires and rehires to ensure accurate and timely completion of required documentation, occupational health requirements, system entry, background checks, and audit programs. This role facilitates communication between Recruiting and Compensation & Benefits while leading, managing, and supporting the design and implementation of onboarding initiatives to create a best-in-class experience for new employees and internal partners.

Working cross-functionally, this individual evaluates current onboarding practices, redesigns and implements improved processes, and drives continuous improvement initiatives across HR functions. The role also supports executive onboarding and orientation programs.

Essential Responsibilities / Duties

  • Utilize strong analytical skills to build reports, interpret data, and provide insights to Talent Acquisition and business partners.
  • Improve metrics, measurement, and analytics to support continuous improvement and achievement of Talent Acquisition goals.
  • Drive initiatives to reduce time-to-start for new hires through process efficiencies and track outcomes quarterly.
  • Lead ongoing process improvements to create a streamlined, compliant onboarding experience.
  • Standardize onboarding workflows, requirements, and documentation.
  • Develop and maintain onboarding trackers and dashboards.
  • Follow up on outstanding paperwork to ensure complete and accurate personnel files.
  • Record EEO information in Workday to support diversity and inclusion reporting.
  • Enter new hires and rehires into payroll systems in a timely and accurate manner.
  • Communicate with managers, candidates, and recruiters regarding background checks and occupational health requirements.
  • Maintain accurate onboarding records and update employee status in recruiting systems.
  • Conduct national background checks and CORI screenings, including obtaining release forms and evaluating results.
  • Communicate results to managers and employees, including adverse action notifications when applicable.
  • Partner with stakeholders to design and execute effective onboarding processes.
  • Identify operational gaps and implement continuous improvement solutions.
  • Lead onboarding and orientation for executive-level hires.
  • Manage multiple tasks and small-scale projects autonomously to enhance onboarding and employee experience.
  • Provide onboarding metrics reporting, including 30–90 day new hire evaluations.
  • Respond to escalations, perform root-cause analysis, and implement solutions to reduce defects.
  • Conduct compliance audits, identify gaps, and implement recommended improvements.
  • Support E-Verify and I-9 audits to ensure regulatory compliance.
  • May supervise the work of Onboarding Specialists.
  • Participate in additional HR projects and duties as assigned.
