Administrative Assistant I
Location: Cambridge MA 02138
Rate: $20-24per hour
Duration: 3 Months
The Administrative Assistant performs day-to-day clerical, recordkeeping, and administrative support activities for a department, office, or program. This role uses standard office technology and administrative systems, with training provided on department-specific systems. The position provides information and assistance to faculty, staff, students, and the public while supporting the smooth and efficient operation of the office.
Key Responsibilities:
- Perform routine clerical, recordkeeping, data entry, and administrative processing duties.
- Gather information and assist with preparing reports, spreadsheets, and other administrative materials.
- Provide accurate and professional information to faculty, staff, students, and the public.
- Keyboard, format, and process correspondence, documents, and other written materials.
- Respond to general correspondence and routine inquiries as needed.
- Schedule appointments and maintain calendars based on established instructions.
- Coordinate meetings, including scheduling rooms, equipment, and other necessary resources.
- Maintain office files, records, and documentation in an organized and accurate manner.
- Monitor office supply inventory and place orders as needed.
- Learn and utilize department-specific administrative systems and software.
- Support day-to-day office operations and contribute to departmental goals.
- Perform other clerical and administrative duties as assigned.
Qualifications:
- High school diploma or equivalent required.
- Some business, administrative, or office training beyond high school preferred.
- Previous clerical or administrative experience preferred.
- Basic proficiency with common office technology and computer applications.
- Strong organizational skills and attention to detail.
- Ability to communicate effectively with faculty, staff, students, and the public.
- Ability to follow established procedures and instructions accurately.
- Strong typing and data entry skills.
- Ability to learn new administrative systems and software.
- Dependable, professional, and able to work effectively as part of a team
