Location: Cambridge Ma 02138
Rate: $49-52 per hour
Duration: 3 Months

he Senior Executive Assistant provides comprehensive administrative and logistical support to a Vice President, Dean, senior Director, or senior faculty member. This role requires a high degree of initiative, sound judgment, discretion, and professionalism while serving as a primary point of contact for faculty, students, staff, and external organizations. The Senior Executive Assistant manages complex schedules and competing priorities, coordinates meetings and events, supports travel and budget activities, and ensures senior leadership is prepared for key commitments and responsibilities.

Key Responsibilities:

  • Provide high-level administrative and logistical support to senior leadership.
  • Serve as a primary liaison to faculty, students, staff, external organizations, and internal partners.
  • Manage complex calendars and schedules, including frequent reprioritization and last-minute changes.
  • Coordinate meetings, appointments, events, and other commitments while ensuring appropriate resources and materials are prepared.
  • Develop a strong understanding of leadership priorities, standing meetings, academic calendars, and organizational objectives.
  • Anticipate needs and proactively identify solutions to scheduling, administrative, and operational challenges.
  • Manage email correspondence, prioritize communications, and respond or follow up as appropriate.
  • Coordinate domestic and international travel arrangements, itineraries, and related logistics.
  • Plan and support events, conferences, meetings, and special projects.
  • Monitor budgets, process purchasing and expenses, and assist with financial tracking and reconciliation.
  • Provide day-to-day supervision, guidance, and coordination of assigned personnel.
  • Prepare, edit, proofread, and organize correspondence, reports, presentations, and other documents.
  • Provide technical troubleshooting and support with office systems, software, and technology as needed.
  • Conduct internet and other research to gather information and support leadership priorities.
  • Maintain confidential and sensitive information with exceptional discretion and professionalism.
  • Collaborate effectively with colleagues and peers across departments and units to accomplish organizational goals.
  • Identify opportunities to improve administrative processes, workflows, and overall efficiency.
  • Perform additional administrative and special project duties as assigned.

Qualifications:

  • Significant experience providing executive-level administrative support in an academic, corporate, or similar professional environment.
  • Exceptional organizational, communication, interpersonal, and time-management skills.
  • Demonstrated ability to manage complex schedules and competing priorities in a fast-paced environment.
  • Excellent judgment and discretion when handling confidential and sensitive information.
  • Strong attention to detail and accuracy.
  • Ability to work independently with minimal supervision while also contributing effectively as part of a team.
  • Strong problem-solving skills and a proactive approach to anticipating needs and resolving issues.
  • Ability to quickly learn and apply organizational policies, procedures, and systems.
  • Strong proficiency with Microsoft Office and other standard business applications.
  • Strong internet research and information-gathering skills.
  • Experience coordinating events, travel, budgets, purchasing, and personnel is preferred.
