Administrative Assistant II
Location: Cambridge MA 02138
Rate: $20-25 per hour
Duration: 3 Months
Testing Center Coordinator Responsibilities
- Support the daily operations of a testing center, including front desk support, student communication, scheduling, and administrative coordination.
- Serve as the primary point of contact for students, faculty, and staff regarding testing services and accommodations.
- Greet, welcome, and direct visitors while providing professional customer service.
- Coordinate the scheduling and administration of exams, including collecting and organizing exam materials and instructions.
- Communicate with students, faculty, and testing staff to coordinate exam schedules and resolve conflicts.
- Reserve testing spaces and assign exam locations based on student needs and available resources.
- Coordinate with accessibility and technology support teams regarding assistive technology, equipment maintenance, and updates.
- Maintain knowledge of testing policies, procedures, and accommodation requirements.
- Provide support for the testing management system used by students and faculty.
- Prepare exam packets and ensure all required materials are available for testing sessions.
- Organize completed exams and coordinate secure exam pickup with faculty.
- Directly proctor exams when needed and monitor testing rooms during exam administration.
- Clarify accommodation-related questions and resolve concerns during testing sessions.
- Collect, verify, and accurately count completed exams.
- Perform administrative duties, including answering phones, distributing mail, organizing exam folders, and maintaining records.
- Maintain office supply inventory and coordinate supply needs.
- Perform additional testing center and administrative duties as assigned.
- High school diploma or equivalent.
- One year of academic or educational support experience.
- One year of administrative experience.
- One year of customer service experience.
- General academic policies and procedures.
- Computer equipment and standard software applications.
- Customer service practices for in-person and telephone interactions.
- Basic recordkeeping and administrative procedures.
- Document management and filing systems.
- Ability to quickly learn general and specialized software applications.
- Proficiency using office equipment and administrative tools.
- Strong judgment, discretion, and ability to maintain confidentiality.
- Highly organized with strong attention to detail.
- Excellent verbal and written communication skills.
- Ability to provide clear and concise instructions.
- Professional and courteous interaction with students, faculty, staff, and visitors.
- Ability to maintain accurate records and manage confidential information.
- Ability to count and verify materials accurately.
- Ability to move throughout testing areas and navigate multiple locations for extended periods.
- Ability to lift and move up to 50 pounds as needed.
- Flexibility to work extended hours during peak testing periods
