Job Title: Specifications Writer

Location: Orlando, FL (Hybrid: In Office Tuesday-Thursday | Remote Monday & Friday)

Pay Range: $106,000 - $118,000 annually DOE + Bonus Eligibility

Work Hours: Flexible schedule with a 4.5-day workweek (four 9-hour days and a half day on Friday)

As a Specifications Writer, you will work closely with architects, engineers, interior designers, and project managers to prepare, coordinate, and maintain project specifications for a diverse portfolio of complex building projects. This role combines technical expertise with mentorship responsibilities, supporting project teams through specification development, quality reviews, product research, and industry best practices.

The ideal candidate is a seasoned architectural professional with strong specification-writing experience who enjoys collaborating with others, coaching project teams, and driving continuous improvement initiatives. Key Responsibilities
  • Develop, edit, and coordinate technical specifications for architectural, engineering, and interior design projects.
  • Act as the organization's specification subject matter expert and resource for project teams.
  • Mentor and support architects and designers in specification development and best practices.
  • Review project specifications and construction documents for accuracy, consistency, and coordination.
  • Participate in QA/QC reviews throughout project lifecycles.
  • Coordinate specifications with design drawings during all phases of project development.
  • Collaborate with project managers, consultants, architects, and engineers to define project requirements and product selections.
  • Research building materials, systems, and construction methods for inclusion in project documents.
  • Maintain and improve master specification libraries, standards, and workflows.
  • Ensure compliance with applicable building codes, accessibility requirements, sustainability goals, and project standards.
  • Review manufacturer information and technical documentation for appropriate product selection.
  • Stay current on emerging products, technologies, and industry best practices.
  • Support proposal development, construction documentation, and project delivery efforts as needed.
  • Lead continuous improvement efforts related to specification standards, templates, and documentation processes.
Requirements
  • Bachelor's degree in Architecture, Engineering, or a related field.
  • Licensed Architect (RA), Professional Engineer (PE), or equivalent combination of specifications experience and industry credentials.
  • Minimum 8 years of progressive experience in specification writing within architecture, engineering, design, or construction environments.
  • Strong knowledge of construction documents, materials, building systems, and industry standards.
  • Experience coordinating specifications across multidisciplinary project teams.
  • Excellent communication, relationship-building, and collaboration skills.
  • Ability to manage multiple priorities while maintaining exceptional accuracy and attention to detail.
  • Strong client-service orientation and organizational skills.
  • Proficiency with Microsoft 365 and industry-standard specification/document management platforms.
  • Experience using specification software and construction documentation tools.
  • Certified Construction Specifier (CCS) certification preferred.
  • Construction Documents Technologist (CDT) certification preferred.
  • LEED accreditation is a plus.
  • Active involvement with professional organizations such as CSI is a plus.
  • Ability to mentor, coach, and influence project teams without direct supervisory responsibility.
