Operations Coordinator
Contract: 6 Months
Pay: $21-22/hour
Location: Brooklyn, NY (100% Onsite)

Position Overview

We are seeking a highly organized Operations Coordinator to support the day-to-day operations of multiple office locations throughout the boroughs. This role is responsible for coordinating facilities, office operations, administrative support, vendor relationships, and office logistics to ensure a safe, efficient, and well-functioning workplace.

Required Qualifications
  • 2-4 years of experience in office operations, facilities coordination, or administrative support
  • Strong organizational, time management, and multitasking skills
  • Ability to prioritize tasks and follow issues through to completion
  • Excellent verbal and written communication skills
Preferred Qualifications
  • Experience working within a legal services or professional services environment
Key Responsibilities

Office Operations

  • Support the daily operations of multiple office locations
  • Monitor and respond to operational and administrative requests
  • Identify, troubleshoot, and resolve routine operational issues, escalating when appropriate

Facilities Coordination

  • Coordinate maintenance requests, repairs, and office space setup
  • Track facilities issues and ensure timely resolution
  • Order and maintain office supplies for all locations
  • Assist with office moves, furniture setup, and workspace organization

Vendor & Building Management

  • Serve as the primary point of contact for vendors and building management
  • Coordinate vendor access and onsite services
  • Maintain records of work orders, service requests, and vendor activity

Administrative Support

  • Provide operational support to staff across multiple offices
  • Coordinate onboarding logistics, including workspace and equipment setup
  • Help maintain consistent office procedures and front desk operations

Technology Coordination

  • Partner with IT and Operations to coordinate equipment, access, and technology needs
  • Track helpdesk tickets and follow up to ensure timely issue resolution
  • Assist with maintaining operational documentation and systems

Communication

  • Keep staff informed of facilities updates, scheduled maintenance, and office disruptions
  • Serve as a responsive resource for day-to-day operational questions
  • Foster a collaborative, service-oriented office environment
