Job Summary/Description:
The Distribution Representative within Americas Distribution is responsible for the financial and administrative duties associated with the client invoice reimbursement process. These duties include, but are not limited to, setting up vendors and processing and monitoring payments and expenditures that are the financial obligation of Invesco and its subsidiaries, in accordance with applicable firm and client compliance and payment policies and procedures.
Responsibilities:
- Serve as the liaison between the salesforce and Accounts Payable to support the processing of heavy volumes of client invoices
- Consult with sales team members to identify appropriate documentation for invoice processing and obtain and compile the required backup materials for submission to Accounts Payable
- Ensure all transactions comply with financial policies and procedures
- Set up new vendors by working with external client firms and submitting a completed new vendor form and W9 to Accounts Payable
- Approve and reconcile expenses, code invoices, manage budgets, and complete expense analysis
- Verify all transactions have the proper account coding, split allocations (where needed), cost centers, and signing authority for payment processing and manage through exception approvals and processing, if required
- Manage weekly and/or monthly check payment cycles to include, wires, ACH, and various payment files and follow up on delinquent or erroneous payments
- Work with the Oracle team around problem resolution, such as wire rejections, and submit ServiceNow tickets to expedite issues
- Provide prompt customer service support to colleagues who are submitting invoices for reimbursement or have questions, given the time-sensitive nature of the transactions and the importance of the client relationships
- Draft and update guidelines and/or procedures
- Assist with internal and external audits and projects associated with the invoice payment process
- Advise on the process and procedures to all levels in the organization, as required, and share basic technical or factual information with colleagues and clients
- Collaborate with other Executive Assistants or Distribution colleagues and provide back-up coverage as needed
- Complete special projects as assigned
- High School diploma or equivalent required
- 2 years minimum relevant work experience, accounting system knowledge or processing experience preferred.
- Oracle experience a plus
- Ability to work independently and under pressure while adhering to various deadlines
- Strong attention to detail
- Excellent customer service skills
- Ability to interact with internal colleagues and external clients
- Positive attitude and professional demeanor
- Proficient in using Excel for analysis, data maintenance, and report generation
