Job Overview:
As a UX Research Operations Specialist, you’ll work with researchers, operations, designers, vendors, and our research partners in Legal, Privacy, and other stakeholders to enable our researchers to focus on conducting ongoing global, exploratory and evaluative research for our physical, digital and service-oriented solutions and experiences. You’ll help to mature our processes, tools, and culture to ensure efficiency and scalability of our Research Operations over time.

Job Overview:
As a UX Research Operations Specialist, you’ll work with researchers, operations, designers, vendors, and our research partners in Legal, Privacy, and other stakeholders to enable our researchers to focus on conducting ongoing global, exploratory and evaluative research for our physical, digital and service-oriented solutions and experiences. You’ll help to mature our processes, tools, and culture to ensure efficiency and scalability of our Research Operations over time.
Responsibilities and Accountabilities:
- Proactively manage intake requests for user research studies, reviewing, triaging and updating its status
- Liaise with our UX Operations manager, Regulatory, Legal and Privacy teams to document, update and organize our procedures and processes to be accurate and accessible as needed. Ensure procedures are being followed
- Assist researchers during the preparation, facilitation and synthesis stages of a study, including but not limited to screening, recruiting, and scheduling participants, participant management, greeting and taking care of participant needs during sessions, taking notes, creating video clips, consent and data management, regulatory documentation, research artifacts (e.g., notes, recordings, etc.) management, tagging data, and more
- Manage and execute on the research communications calendar
- Participate in project meetings as necessary, managing meeting minutes and capturing actions
- Provide consistent progress updates to the team and update research study work plans
- Leverages tools and practices such as Asana, Teams, meetings to proactively manage projects and initiatives synchronously and asynchronously
- Work to continually improve and perfect our recruiting efforts, so we get the best participants possible for research
- Manage the relationship with our recruitment and research vendors to ensure a smooth process for us as well as for the people that are recruited for research
- Plan, execute and measure research impact and operations initiatives, including panel management, disseminating insights and research artifacts and maintaining our insights repository
- Manage additional research resources such as templates, guidelines, training materials, playbooks, FAQs, etc.
- Assist researchers and designers with setting up unmoderated tests, as needed
- Be a strong and vocal advocate for UX research
Required Qualifications:
- 3+ years' experience of supporting global research teams and establishing and maintaining operations in the areas of participant management, governance, tools, insights management, and research advocacy
- Experience with standard user research methods such as survey design and setting up unmoderated usability studies
- Additional experience in project management, process improvement, customer service or related field
- Proven track record of building and/or managing panels, templates, guidelines, process documents, and research repository
- Familiarity with participant recruitment workflows including screening, scheduling, incentive payments, documentation and consent management
- Working experience with participant management and research platforms (e.g., Qualtrics XM Directory, UserZoom)
- A good understanding of research ethics, user privacy and compliance protocols
- Proficiency in developing or improving upon scalable and repeatable research operations
- Strong attention to detail
- Ability to manage multiple projects in a timely manner
- Proven ability to build strong relationships with peers and stakeholders
- Experience with driving research recruitment within a regulated environment
- Ability to travel up to 10% of the time
Preferred Qualifications:
- Experience with measuring impact of research and research operations initiatives and able to provide example case studies
