Corporate Communications Operations Specialist
Location: Oakland CA 94612
Duration: 12 months
Pay Rate: $52-57 per hour DOEWe are seeking an experienced Corporate Communications Operations Project Manager to support the Corporate Communications team by driving the operational execution of media partnerships, sponsorship activations, and cross-functional initiatives. This role serves as the organizational hub for communications projects, ensuring timelines, logistics, stakeholder coordination, and operational processes run efficiently. The ideal candidate is highly organized, thrives in a fast-paced environment, and has experience managing multiple priorities while collaborating with internal teams and external partners.
- Coordinate project timelines, logistics, and deliverables for media partnerships and sponsorship activations.
- Manage day-to-day communication and follow-up with external partners, vendors, and internal stakeholders.
- Support contract administration, procurement activities, invoice processing, approvals, and coordination with Finance and Legal teams.
- Oversee team operations, including calendar management, meeting coordination, scheduling, and project tracking.
- Maintain project documentation, status reports, and operational trackers to ensure successful execution of communications initiatives.
- Partner with cross-functional teams to keep projects on schedule and proactively resolve roadblocks.
- Monitor priorities, deadlines, and deliverables across multiple concurrent projects.
- Bachelor's degree required.
- 5-7 years of experience in project management, communications operations, marketing operations, agency account management, or a similar cross-functional operations role.
- Proven ability to manage multiple projects, stakeholders, and deadlines in a fast-paced environment.
- Strong organizational, planning, and project management skills with exceptional attention to detail.
- Experience collaborating with Communications, Legal, Finance, Procurement, and external partners.
- Excellent written and verbal communication skills with the ability to build strong working relationships across all organizational levels.
- Ability to work independently, prioritize competing priorities, and adapt to changing business needs.
- Experience supporting contracts, procurement, invoicing, budgeting, or vendor management is preferred.
- Proficiency with project management and collaboration tools such as Asana, Airtable, Smartsheet, Google Workspace, Microsoft Office, or similar platforms.
- Experience supporting Corporate Communications, Public Relations, Marketing, or Executive Communications teams is preferred.
The successful candidate is a highly organized operations professional who enjoys coordinating complex projects behind the scenes. They excel at keeping teams aligned, managing multiple workstreams simultaneously, and ensuring communications initiatives are executed smoothly through strong project management, collaboration, and operational excellence.
