The Planet Group is seeking an experienced, hands-on Clinical Procedures Coordinator to join a growing security team at our Bio-Technology Pharma client.
Clinical Procedures Coordinator Qualifications:
Bachelor’s degree in Business Administration or Project Management, or similar degree such as Communication coupled with relevant experience
2+ years of clinical study experience, with 3+ years of project coordination and administration experience
Proficiency with project management tools (e.g,. MS Project, Excel)
Experience with Veeva Quality Docs systems ideal, but not required
Excellent communication, organization, and problem-solving skills
Ability to effectively manage multiple priorities with a sense of urgency
Strong record of accomplishment for project management, stakeholder management, collaboration skills and negotiation of complex situations/conflict resolution
Demonstrated skills in collaboration and problem-solving, taking initiative and working independently.
Self-motivated with the ability to work effectively in a dynamic and culturally diverse, sometimes ambiguous, environment
Highly organized with a strong attention to detail, clarity, accuracy, and conciseness.
Clinical Procedures Coordinator Responsibilities:
Project Support:
Assist project leaders with planning, organization, and execution to ensure projects are completed on time and on budget.
Schedules and Resources:
Coordinate project timelines, assign tasks, and help with resource allocation to keep projects moving forward efficiently.
Communication:
Serve as a liaison between the project team, stakeholders, and leadership, distributing updates to facilitate cross-functional alignment
Documentation Management:
Keep project records, create and maintain project documentation, and take detailed notes during meetings
Additional Duties:
Maintain/refine overarching CPE&T Master Project Plan to provide insight into planning, organization, and execution of projects
Collaborate with CPE&T Project Leads to establish individual project timelines to incorporate into the CPE&T Master Timeline
Enter individual project timelines into overarching CPE&T Master Project Plan
Collaborate with Director, Clinical Process Excellence & Training to identify risks/issues (e.g., resource over-allocation, at-risk timelines) that may adversely impact project success
Add potential new projects to Triage Tracker
Facilitate project status discussions during CPE&T bi-weekly team meetings or when needed
Establish and facilitate team meetings, take notes
Collaborate with CPE&T Project Lead to manage timeline
Monitor action items, collaborating with team members to address delays
Send status reports/notifications prepared by CPE&T Project Lead to impacted Roles/Functional areas
Establish and manage Teams Channel(s) ensuring necessary access is provided; manage documents in folders
Coordinate SME’s Review of document(s) in Teams; may facilitate comment resolution meetings
Perform document quality reviews for procedural or performance support documents and training materials
Provide Communication and Logistical Support
Send out prepared communications as part of procedural document implementation or training projects, collaborate with Corporate Communications for large target audiences
Schedule In-the-Know and other training sessions, help prepare materials, send follow-up information
Monitor CPE&T inbox, route emails to ensure timely responses are provided
Monitor and report on procedural document activity (e.g., periodic review cycles, review/approval status) via Veeva Quality Docs, and training status (e.g., assignments, completion status, curriculum/assignments) via Learning Management System
