Facilities Administrative Assistant will assist and Support the Facilities and ESH Team in all areas as needed.
Responsibilities:
• Create requisitions for facilities
• Monitor and record keeping of weekly expenses.
• Data entry for FESH/ Safety dashboard
• Monitor and track utility usage through utility website.
• Scan incoming invoices and send to AP Kavlico, AP BEI, John Deere and Crydom via email
• Placing supply order for Coastal Building Service (cleaning supplies)
• Communicate and schedule services for Janitorial cleaning when needed.
• Have monthly meetings with Polo from Coastal Building Service
• Communicate with vendors for facilities (Aramark, Orkin, Regional First Aid etc.)
• Attend daily/weekly/monthly EHS meetings
• Main contact for cubicle name plaques (made as needed for new hires)
• Attend to all facilities concerns that may come up daily; escalate to corporate Facilities and ESH if need be
• Admin for I-Maint program, create work orders, update I-Maint log and close out jobs.
• Admin for STOP card program
• Contact vendors about equipment repair status
• Negotiate quotes with vendors and schedule services.
• Help with sorting of mail for site
• Document management support for ISO 14001 Audit
• Responsible for informing site FESH Manager / Site Manager / HR of any new activities or unique conditions (i.e. Employees’ concerns, process change, utilities) affecting the facility and the EMS.
• Other duties as assigned
Requirements:
• HS Diploma: AA Degree preferred
• Good communication skills and reading, writing and math ability
• Basic computer knowledge and Skills (i.e. Outlook, Microsoft Office, etc.)
• Some knowledge of mechanical / electrical components
• Ability to work with all levels of employees and managers
• Flexible and adaptable team player
• Continuous improvement mindset
• Education or training in ESH procedures relevant to job duties.
• New Hire Orientation on ESH and ISO 14001 Environmental Management System.
