Job Summary/Description:
Responsibilities:
- Perform work associated with preparing, coordinating, negotiating, and administering procurement proposals, bids, and contracts with suppliers/vendors, ensuring appropriate approvals are obtained throughout the process.
- Draft procurement-related documents, post procurements, respond to procurement-related inquires, review responses to procurements, manage the review and evaluation of procurement responses.
- Assist with awarding of contracts, conduct contract administration functions including drafting and transmitting agreements and related correspondence, oversee contract execution.
- Manage vendor contracts, including entering contract data in the MSBA system and contract spreadsheet.
- Draft procurement memos for MSBA executive team and Board of Directors.
- Assist the legal department with the management of MSBA contracts with school districts, including drafting agreements/correspondence, working with MSBA departments on contracts and related documentation, and documenting grant amounts and other agreement details.
- Assist with MSBA Board of Directors meetings as needed. Related work to include assistance with memos, votes and open meeting law requirements, including support with drafting Board minutes.
- Review and approve MSBA grant program forms and documents as needed.
- Work with applicable MSBA department teams on matters requiring reviews
- Perform tasks as assigned.
- Bachelors degree and experience with procurement services or contracts administration preferred. Experience with and understanding of general contracting principles and requirements preferred.
- Strong computer skills, including Microsoft Word, Excel, Outlook, Access, Power Point, and Internet search engines.
- Ability to gather, analyze, and present complex information in a clear, concise, and understandable manner. Attention to detail required.
- Exceptional time management, prioritization skills, and an ability to be flexible in reprioritizing. Excellent organizational and follow-up skills.
- Communication skills including interpersonal verbal, solid writing, proofreading, and editing skills. Mature interpersonal style: ability to interact effectively and calmly with a diverse range of people internally and externally.
- Professionalism and ability to maintain the highest level of confidentiality.
- Ability to think independently, be proactive, and take initiative.
- Ability and willingness to proactively research and/or solve issues.
- Ability to work in a fast-paced environment balancing multiple priorities and handling multiple tasks/projects concurrently, with tight deadlines.
- Ability to learn and demonstrated interest in learning Massachusetts procurement laws and requirements preferred.
- Understanding of and experience with document management preferred.
- Exhibit a ‘can-do’ attitude and flexible work style approach, including patience and flexibility to meet demands of a changing schedule.
