The role entails overseeing payroll operations for US entities, ensuring accurate and timely pay processing in compliance with regulatory standards. - 5+ years payroll processing experience
- Experience managing a small team
- Knowledge and understanding of multi-state payroll
Preferred:
- ADP WorkForceNow, ADP Workforce Manager, Tier 1 ERP (SAP, Oracle, or equivalent), and MS Excel and MS Word experience
Job Description: This position reports to the Director of Human Resources and directly manages a team of four Payroll Specialists. The role entails overseeing payroll operations for US entities, ensuring accurate and timely pay processing in compliance with regulatory standards. Collaboration with various departments is essential, requiring effective management of relationships and deliverables.
Responsibilities:
Management:
- Supervise the full cycle semi-monthly and bi-weekly payroll process across multiple entities and states.
- Drive sustainable process efficiencies and enhance internal controls.
- Manage the team’s workflow, priorities, and provide professional guidance and mentorship.
- Handle escalated payroll issues.
- Oversee period-end payroll adjustments, year-end reporting, and all quarterly and annual payroll tax filings (e.g., W-2’s).
- Review payroll reports, reconciliations, analyses, and other deliverables.
- Publish annual payroll and holiday calendars.
- Manage payroll communications.
- Manage the timecard process for approximately 1500 employees, ensuring accuracy of overtime, vacation, sick, and leave calculations.
- Ensure proper reflection of EE 401(k) elections and ER contributions in ADP, Fidelity, and the general ledger.
- Process adjustments and allowances (e.g., garnishments, supplemental wages, stipends).
- Prepare and file multi-state taxes.
- Coordinate with HR and Benefits teams for benefits processing, salary increases, policy administration, and employee onboarding and terminations.
- Communicate updates on laws affecting employee pay and related obligations.
- Facilitate efficient payroll audits.
- Oversee garnishment processing in compliance with state and federal regulations.
- Review wage and labor reconciliations and ensure payroll accuracy.
- Conduct audits of payroll details to maintain compliance with quality standards and procedural manuals.
