Job Title: Executive Administrative Assistant 3
Contract Duration: Tentative start date: Dec 6, 2024 through Jun 30, 2025 (Assignment extensions occur quarterly. The selected candidate has the potential to stay in the role for up to 18 months.)
Pay: $47.00/hr
Onsite/Remote/Hybrid (if onsite/hybrid please give city/town name): Hybrid, 1-2 days in office, Redmond, WA
Must Haves: The role requires 5 overall years of experience in the field
Top 3 Hard Skills Required + Years of Experience
1. Minimum 5 years experience with Microsoft tools
2. Minimum 5 years experience working with global teams
3. Minimum 5 years experience in EA tasks such as calendar management and travel coordination
Preferred:
The ideal resume would contain experience with Microsoft tools and working with global teams
Job Description:
The main function of an Executive Administrative Assistant is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office.
Job Responsibilities:
• Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
• Prepare invoices, reports, memos, letters, financial statements, and other documents.
• File and retrieve corporate documents, records, and reports.
• Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
• Prepare agendas and make arrangements for committee, board and other meetings.
Skills:
• Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
• Ability to work independently and manage one’s time.
• Ability to keep information organized and confidential.
• Basic mentoring skills necessary to provide support and constructive performance feedback.
• Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.
Education/Experience:
• High school diploma or GED required.
• 5-7 years experience required.
• Experience working with executives highly preferred.
Typical Day in the Role:
· Purpose of the Team: The purpose of this team is to support HR for 60,000 people globally
· Key projects: This role will contribute to classic EA tasks such as time management, calendar work, travel, visa, and expenses
· Typical task breakdown and operating rhythm:
? 20% calendar work
? 10% travel
? 20% budget and headcount (if familiar)
? Organizing offsites, submitting expense reports, and being part of the EA community
