Job Title: Administrative and Operations Assistant
8 Month Contract
Location: Boston MA 02215
Must Haves:
- Bachelor's degree
- 1+ years of admin/relevant experience
- Ok w/ occasional after-hours and weekend work
Preferred:
- Higher education experience specifically w/ Alumni
Job Summary/Description:
Support Alumni Engagement staff with general administrative tasks and projects, such as:
- Ordering and organizing event materials (name tags, giveaway items, décor, catering details, etc.)
- Processing expense reports
- Capturing and distributing meeting notes/minutes
- Preparing meeting materials
- Assisting with meeting set-up, execution, and clean-up, including assisting with technology
- Running queries and reports in our advancement database and event registration system
- Assisting engagement officers with post-event follow-up and engagement analysis
- Maintaining listservs and email lists for regularly scheduled Alumni Engagement meetings
OPERATIONS SUPPORT:
- Providing Alumni Center reception to visitors, coordinating with the Faculty Dining Room and Conference & Events staff for events/activities in the building
- Maintaining spaces, room set-ups, overall tidiness of Alumni Center
- Managing and receiving submissions for the Alumni Authors Collection library
- Serving as point-of-contact for alumni reservations in the Alumni Center, arranging parking and addressing technology needs (e.g., WiFi, printing, etc.)
- Maintaining inventory, ordering and organizing supplies for the Alumni Center (e.g., office supplies, tissues, kitchen needs)
- Executing Facilities Service Requests (FSRs) and other necessary space adjustments for the Alumni Center, working with campus partners in Facilities and Campus Planning
- Keeping inventory and organization of alumni swag/giveaways
- Receiving mail and packages, and managing distribution to staff
- Managing mail pick-ups by Mail Services
