Administrative Coordinator 
4+ month contract, 12/11/2024 - 3/15/2025
Hybrid- NYC 
Must Haves:
  • High School diploma and 8+ years experience, Associates +5 years experience or Bachelor’s degree and 2+ years experience of administrative support experience in a professional setting (calendar management, expense management)
  • Strong written and verbal communication skills (interacts with students, staff, faculty, and external stakeholders)
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and G-Suite (Gmail, Drive, Sheets, Docs)
  • Excellent organizational, time management, and interpersonal skills
  • Familiarity with data management and project coordination
Preferred Skills:
  • Bachelor's degree
  • Experience in higher education or academic administration
  • Proficiency in project management software (e.g., Asana, Trello, MS Project).
  • Experience supporting large, complex projects
  • Experience supporting HR functions, posting jobs, reviewing resumes, and assisting with candidate selection processes.
     
Job Summary/Description: A leading University is seeking an Administrative Coordinator to support the team in managing and coordinating various projects and operations. Reporting directly to the Chief Operating Officer (COO), this position plays a vital role in ensuring the efficient execution of projects and the alignment of ongoing initiatives with organizational goals. The successful candidate will be responsible for the following:
  • Project Planning & Coordination: Assist in developing project plans, timelines, and deliverables, ensuring timely and within-scope project completion. Coordinate resources, stakeholders, and tasks to facilitate smooth project execution.
  • Data & Information Management: Collect, analyze, and synthesize data from ongoing projects to ensure alignment with DSI's strategic objectives.
  • Administrative Support: Provide comprehensive administrative assistance, including calendar management for senior leadership, preparing reports, and supporting day-to-day operations.
  • Communication & Coordination: Liaise with internal and external stakeholders, managing communications and contributing to the efficient flow of information.
  • General Office Operations: Maintain organizational systems for documents, resources, and office supplies to ensure smooth functioning of the office.
This role requires an individual who is proactive, highly organized, and capable of supporting a dynamic research environment. The ideal candidate will demonstrate a keen ability to manage multiple tasks and contribute to the successful achievement of the teams mission to advance the field of data science.
