Receptionist with Accounts payable responsibilities

Growing company seeking a receptionist who can perform accounts payable.  The position is a hybrid of an accounts payable assistant and receptionist duties. Responsibilities  answer phone and also partnering with the AP manager on the weekly invoices for the check run.


Required:
  • Comfortable answering phones
  • Computer savvy
  • Clear verbal and written communication skills
  • Accounts payable experience


 Responsibilities:

Accounts Payable
Supports the accounts payable department 
  • Checks, reviews, and inputs invoices for payment
  • Answers vendor inquiries
  • Prepares accounts payable checks
  • Prepares analysis of accounts as required
  • Assists the accounting department and with special projects as needed
  • Serves as primary backup to the A/P Manager
Receptionist
  • Answer incoming telephone calls, determine purpose of the call and forward calls to appropriate personnel
  • Welcome on-site visitors, determines nature of business, announce visitors to appropriate personnel
  • Receive and sort daily mail and packages and distribute/deliver to appropriate personnel
  • Monitor and distribute corporate fax inbox mail
  • Maintain and order corporate office supplies and kitchen/food supplies
  • Maintain stock of paper in mail room including fax and copy machines
  • Assist in any ad-hoc projects or duties, and activities when required
Administrative Assistant
  • Administrative tasks including coordinating calendars, sending emails, Zoom/other meeting set ups, preparing correspondence and other general office administration
  • Coordinate set-up of corporate meetings or functions (including food order)
  • Update, maintain, copy and/or distribute the following reports: monthly financials, construction, property lists & inter-office phone list


Requirements
  
  • Strong team player who is highly motivated, energetic, positive, and works well both collaboratively and independently.
  • Strong verbal and written communication skills and can work with all levels in the organization.
  • Proficient computer skills, including working knowledge of Microsoft Office Suite.
  • High degree of accuracy with attention to detail.
  • Working knowledge of general office equipment (copier/fax, computer, telephone, conference calls)
